1. Introduction
Wolles is a hair salon chain that provides hairdressing services wherever you are. The business concept is developed and owned by Wolles Hairconcept AS (org no. 930 841 439 VAT) (hereinafter Wolles). In this privacy policy, we describe how we process personal information about our existing and potential customers and stakeholders. This applies, for example, when you purchase hairdressing services and products through our app, website with a webshop, or directly from our hairdressers, or when you contact us for other reasons. Wolles hairdressers may be employed by Wolles or operate as franchisees in their own name, at their own expense and risk, as sole proprietorships or limited companies, with support from Wolles as the franchisor.
2. What categories of personal information do we process?
We record the following personal information when you create an account, order and purchase products or hairdressing services, cancel/modify orders, or participate in activities and competitions:
  • Customer’s name, date of birth, phone number, email address, and residential address.
  • Contact person’s name, phone number, and email address, as well as the address and meeting place for customers with a customer agreement.
  • Position data or postal code when searching for appointments (provided you consent to sharing).
  • Information about ordered, canceled, modified, and completed hairdressing services and products.
  • Chat dialogue with the hairdresser.
  • Email dialogue with the hairdresser and Wolles.
  • Payment information.
  • Participation in activities and competitions.
  • Information about evaluations, complaints, and claims.
  • Alarm events.
  • Images and videos with the consent of the subject.
We record the following personal information when you contact us with questions, interest in events, recruitment, etc.:
  • Name and email address.
  • Subject of the inquiry/what information you desire.
We record the following personal information when you contact us for recruitment:
  • Name, date of birth, phone number, email address, and residential address.
  • Creation of application, CV, journeyman’s certificate, certificates and references, possible images, and other documents you submit.
The information usually comes from you and our hairdressers, but it may also come from external sources, e.g., in connection with address updates.
3. How do we use your personal data?
Wolles processes personal information about customers and stakeholders for the following purposes:
  • Establishment of customer relationships.
  • Responding to inquiries and ensuring follow-up.
  • Delivering services and products to you from order to invoicing.
  • Saving you time by offering automatic login (remembering username and password) and pre-filling forms.
  • Handling warranties and complaints.
  • Marketing to existing customers and stakeholders.
  • Understanding market trends and needs through statistics for groups of users to improve and develop our offerings.
  • Fulfilling requirements for accounting and bookkeeping.
We store and process personal information only within the EU/EEA area. Our legal basis for processing personal information for these purposes is to provide you with services and products, fulfill the agreement with you, including invoicing/payment, follow-up on complaints and claims, fulfill our legal obligations, and our legitimate interests in quality assurance and training purposes, ensuring the safety of Wolles hairdressers, developing our offerings and products, and marketing in accordance with Article 6(1)(b), (c), and (f) of the General Data Protection Regulation (GDPR). We may also process your personal information at your request, under a separate agreement or consent, for example, when participating in competitions, in accordance with Article 6(1)(a) and (b).

When you receive marketing emails from us, there will always be an unsubscribe link at the bottom of the email that you can use to opt-out of email-based advertising from us. Alternatively, you can choose not to receive marketing from us by contacting us.

4. Who do we share your personal data with?
Wolles and the hairdressers who provide hairdressing services to you process your personal information. In addition, our IT services and accounting service providers process your personal information under a data processing agreement with us. We may also share your personal information with third parties when necessary in connection with an alarm event, to summon security or the police if a hairdresser feels unsafe. When we share your personal information with third parties, we limit it to only the information necessary to fulfill such a business need or legal requirement.
5. How long do we store your personal data?We store your personal information for as long as necessary to fulfill the specified purposes, unless a longer storage period is required or permitted by applicable law or with your consent. Our key storage principles are as follows:
Account information with name, address, contact information, and Customer ID is stored for 1 year after the account is closed and outstanding balances are settled. Customer activities, such as chat or messaging services where you as a user are identified/logged in, are stored for 1 year. Order and sales information is normally stored for 1 year.Invoice information and specific accounting documents are stored for 3-5 years in accordance with accounting laws and regulations.
6. What rights do you have and how do you enforce them?
You have the right to request access to, disclosure, and corrections or deletions of your personal information. You can also withdraw your consent to the processing of your personal information, object to our processing, or request that we restrict the processing of your personal information. To exercise your rights, you must confirm your identity. If you disagree with how we process your personal information, you can complain to the Norwegian Data Protection Authority.
You can delete your personal data in two ways:
Option 1: Via the app
  1. Log in to the app with valid login information.
  2. Open your profile.
  3. Click the three dots in the upper right corner.
  4. Select “Delete account” at the bottom of the list.
  5. Confirm the action.
Option 2: Send a request via the form on our website
  1. Open the https://wolles.no/en/contact-us.
  2. Fill in your name and email.
  3. In the “Message” field, write the request to delete personal data.
  4. Please provide your phone number so that we can locate your account in the system.
  5. Send your request.
We will process your request, and your account and personal data, such as phone number, first name, last name, profile picture, and email (if provided), will be deleted. Please note that you will not be able to log in to your profile after it is deleted. However, you can register a new profile.
7. Safety
We have established procedures and systems to secure the processing of your personal information, including confidentiality, integrity, and availability. The measures are both technical and organizational. We conduct regular security assessments of all central systems, and agreements have been made requiring system providers to ensure satisfactory information security. Access to personal information is limited to individuals who need access to perform their tasks, and we regularly train employees on security and the use of IT systems. Remember that you can also contribute to protecting your information by not sharing confidential or sensitive personal information, using secure passwords that are difficult for others to guess, and not clicking on links in emails without checking the sender.
8. Social Media
Wolles and some Wolles hairdressers have accounts on Instagram, Facebook, TikTok, and LinkedIn, and the processing of personal information on such platforms is subject to the terms of use and privacy policies that apply to each platform. We use these accounts to promote and improve our services and Wolles for potential and current customers and employees. The legal basis for this legitimate interest is based on Article 6(1)(f) of the General Data Protection Regulation (GDPR). If you contact us on one of these accounts or want to share some of the content we publish, we will be able to see basic account information such as name and email address. We will respond to you on the same platform and process personal information in connection with such communication. You are free to unfollow us and delete your comments and messages, but note that it does not lead to the deletion of your personal information. We also note that these providers have international data transfers to the United States. We recommend reading their privacy policies to learn more about their processing of your personal information. When using Facebook, we will also receive aggregated statistical reports from Facebook (Facebook Insights). These reports contain no personal information and are anonymous to us, but in connection with this service, we are considered joint controllers along with Facebook Inc.
9. Cookies and tracking technology etc
Wolles uses cookies in a limited manner on the website www.wolles.no. We use cookies, pixels, scripts, and similar technologies on our website and in the app to recognize you across websites, browsers, and devices, and to customize to your settings when using our digital platforms. This includes information about your device, IP address, app ID, app version, browser type and version, operating system, and mobile/device model, and information about the network you are using. Most browsers are set to accept cookies automatically, but you can change it at any time. By visiting the website www.wolles.no, you consent to the use of cookies in your browser as specified below, unless your browser is set not to accept cookies. If you do not want to accept cookies, you can withdraw your consent by changing the settings in your browser. However, be aware that if you do this, you may experience reduced functionality. Here is an overview of cookies on www.wolles.no:Necessary cookies: ARRAffinity, which handles load balancing in Microsoft Azure and ensures that the visitor is sent to the same server for each request. The cookie is removed when the visitor closes the browser. Analysis/statistics cookies: Google Analytics, which collects anonymous information about the visitor, such as how the website is used, which website the user comes from, exit page, number and duration of visits, and the operating system and communication device used. This is done to analyze activity and optimize the website. The cookie is removed after a maximum of 730 days.
